Data Protection Policy

Stokesley Photographic Society (SPS) complies with the Data Protection Act (2018) which incorporates the European Union General Data Protection Regulations (GDPR). The Society is a data controller as defined by GDPR. Data protection is the collective responsibility of the SPS Committee

The Society collects and holds personal information about members. This includes name, address, telephone number, e-mail, membership duration, scores obtained in competitions, records of work shown at external competitions, and permission to use images on the website. Any member wishing to verify the personal information held by the Society should apply to the Treasurer in writing.

Personal contact details are used only for the administration of the club and are distributed only to Committee members, and to others approved by the committee for specific purposes. Contact details may be held about prospective members while they decide whether to join. Contact details are held about previous members for 1 – 2 years, in case they decide to re-join.

SPS also collects and holds personal information about those offering their services to the Society (for example competition judges, lecturers, suppliers). This information is used to facilitate administration in order to satisfy a requested service or a contractual requirement and may be retained to confirm the outcome.

SPS may retain historical archives of, for example but not limited to, records of work shown at internal and external competitions, permission to use images for external competitions or on the web site and on social media, records of meetings, competitions, awards and other event results.

SPS will never sell members’ personal data and will not share members’ data with any third parties without member’s individual prior consent (which members are free to withhold) except where required to do so by law.

SPS operates a website ( The website does not collect data when you visit – i.e. does not use Cookies. The only personal information stored on the website server is members’ names and access passwords.

During the course of some SPS activities (for example internal and external competitions, internet picture groups) members may transfer image files to the Society. Such files may contain meta-data including personal information (which may itself include author name and associated details, plus information such as camera serial number, GPS co-ordinates). In transferring image files to the Society, via the website, email or other means, members consent to the storage and publication of this information along with the image content, and  agree to remove any personal information prior to transfer if it is desired that this should not be stored with the files or made onwardly available.
